This Privacy Policy explains how Seastack Bookkeeping ("we," "us") collects, uses, and protects information when you use our website and client portal (the "Services").

We collect information you provide directly, such as your name, email address, business name, and any messages or documents you submit. When you use the portal, we process business and financial records (such as invoices, documents, and time records). When workers clock in or out, the portal may record the time and, with your device's permission, an approximate location. We also collect basic technical information such as your browser type and log data needed to operate the Services securely.

2. How we use information

We use information to provide and improve the Services, to communicate with you, to prepare and deliver bookkeeping work, to process invoices and payments, and to keep the Services secure. We do not sell your personal information.

3. Location data

Location is only captured when a worker actively clocks in or out and the device grants permission. It is used to verify where time was recorded for the employer. You can decline location access in your browser; the time clock will still work without it.

4. How we share information

We share information only as needed to run the Services: with service providers who host our data (such as our database and storage provider) and who process payments (such as Stripe), and when required by law. Within the portal, access is restricted by role so that each user sees only the data they are authorized to view.

5. Data storage and security

Data is stored with reputable cloud providers and protected with access controls, including database-level security rules that restrict each account to its own data. Files are kept in private storage and shared only through time-limited links. No system is perfectly secure, but we take reasonable measures to protect your information.

6. Data retention

We retain information for as long as needed to provide the Services and to meet legal, accounting, and reporting obligations. You may request deletion of your information, subject to records we are required to keep.

You may request access to, correction of, or deletion of your personal information by contacting us. You can control location sharing through your browser settings.
