These Terms of Service ("Terms") govern your access to and use of the Seastack website (seastackbook.com), field client portal, mobile applications, and related software or bookkeeping services (collectively, the "Services"). By accessing or using the Services, you agree to be bound by these Terms. If you do not agree to these Terms, please do not use the Services.
1. The Services
Seastack provides field workforce automation, crew management, and financial bookkeeping software tools. This includes a centralized multi-tenant portal where invoices, estimate documentation, geofenced time records, and related trade business information are processed and managed. We reserve the right to add, modify, or remove software features or application views at any time to preserve system optimization.
2. Accounts and Access Roles
Certain operational features require an active, authenticated account profile.
- Security responsibility: You are entirely responsible for keeping your login credentials confidential and for all operational activity that occurs under your account.
- Role-based permissions: Account access privileges (e.g., Administrator, Client, Staff, and Field Worker roles) strictly dictate what information and actions are available to each user inside the application.
- Data accuracy: You agree to provide accurate, up-to-date registration information and to notify us promptly of any unauthorized or breached use of your account.
3. Acceptable Use
You agree not to misuse the Services. This includes, without limitation:
- Attempting to bypass row-level security policies to view financial data you are not authorized to access.
- Interfering with normal server operation, geofencing coordinates, or API endpoints.
- Uploading unlawful, corrupted, or harmful content.
- Using the platform to violate any regional, provincial, or federal trade-compliance regulation.
We reserve the right to suspend or terminate access for conduct that we reasonably believe violates these Terms.
4. Your Data and Intellectual Property
You retain complete ownership of all business, project, and financial information you input into our databases. You grant Seastack permission to host, store, transfer, and process that information solely to provide and maintain the Services. Our handling of personal information is governed by our Privacy Policy.
5. Payments and Billing
- Portal invoices: Invoices issued or managed through the Seastack portal are payable according to the specific terms designated on those ledgers.
- Payment processing: Where a direct digital payment link is provided, transactions are securely handled by a third-party merchant processor (such as Stripe). Seastack does not store full or raw credit-card details within its application layer.
- Bookkeeping services: Fees for our managed, done-for-you bookkeeping options are agreed upon separately via your specific client engagement.
6. Software Subscriptions, Trials and Cancellation
This section governs subscriptions to our software plans. Current plans and prices are listed on our Pricing page, which is the authoritative source for the amounts in effect at any time.
- Free plan and free trial: Our Solo plan is free to use. Paid plans include a 14-day free trial, and no credit card is required to create an account. If you do not start a paid subscription, your account simply remains on the free plan when the trial ends — we will not charge you automatically at the end of a trial.
- Term and renewal: Software plans are month-to-month with no fixed contract, unless you select an annual billing option where offered. Your subscription renews automatically at the start of each billing period, at the price shown on the Pricing page when that period begins, until you cancel.
- Billing: Subscription payments are processed by our third-party payment processor (Stripe). Charges are made to the payment method you provide at checkout. Applicable taxes may be added.
- Cancellation: You may cancel at any time. Agency and firm accounts can cancel from the billing portal inside the agency console. All other accounts should email seastackmechanical@gmail.com to cancel. Cancellation takes effect at the end of the billing period you have already paid for — you keep paid features until then, and you are not charged again afterwards.
- What happens to your account after cancelling: Your account is not deleted. It moves to the free Solo plan and your business data remains available to you, subject to the limits of that plan. If you also want your data erased, use our account & data deletion process, which is separate from cancelling a subscription.
- Refunds: Because plans are month-to-month and can be cancelled at any time, payments already made for a billing period are non-refundable, and cancelling part-way through a period does not create a partial-period refund. This does not limit any refund or cancellation right you have under applicable consumer-protection law. If you believe you were charged in error, contact us and we will review it.
- Failed payments: If a payment fails, your subscription may be marked past due and paid features may be suspended until payment succeeds. We may retry the charge through our payment processor.
- Price changes: We may change subscription prices. For existing subscribers we will give at least 30 days' notice by email or in-app before a change takes effect, and the new price applies from your next billing period. If you do not accept a change, you may cancel before it takes effect.
- Done-for-you bookkeeping: Managed bookkeeping engagements are billed separately and governed by your individual engagement terms, not by this section.
7. Professional Advice Disclaimer
Seastack provides business-management software tools and professional bookkeeping support services only. Information rendered, organized, or calculated through our application is not official tax, legal, certified accounting, or licensed financial-planning advice. It should never be relied upon as a substitute for consulting a qualified professional.
8. Disclaimers and Limitation of Liability
The Services are provided strictly on an "as is" and "as available" basis, without warranties of any kind, either express or implied, to the fullest extent permitted by law.
Seastack is not liable for indirect, incidental, or consequential damages (including lost field profits or project delays). Our total cumulative liability for any claim relating to the Services is limited to the total amount you paid us to use the Services in the three (3) months immediately preceding the date of the claim.
9. Changes to These Terms
We may update these Terms from time to time to match evolving system architecture or legal requirements. The "Last updated" date above reflects the most recent changes. Your continued use of the platform after updates take effect constitutes acceptance of the revised Terms.
