It's software for trade and field-service businesses that ties the field to the books. Your crew clocks in with GPS, logs work and signs off safety on their phones; that work flows straight through to invoices, job costing, expenses and payroll — instead of living on paper and getting re-typed at the end of the month. If you'd rather not keep the books yourself, we also offer a done-for-you bookkeeping service.
No. You can create an account without a card. Our Solo plan is free to use, and paid plans include a 14-day free trial. We don't charge you automatically when a trial ends — if you do nothing, the account simply stays on the free plan.
No — Seastack runs in any browser on desktop, tablet or phone. For crews it works better installed to the home screen, which gives you a full-screen app icon and better offline behaviour.
Our Get the app page has the steps for iPhone and Android, plus a direct Android app file if you'd prefer a real installed app. Official App Store and Google Play versions are still going through store registration.
Talk to us before you start and we'll go through what you have. What can be brought across depends on the system you're coming from and the shape of your data, so we'd rather look at it with you than promise something that doesn't fit.
Current plans and prices are on the Pricing page, which always shows what's in effect. There's a free Solo plan, paid software plans billed monthly (with a cheaper annual option), and separate managed bookkeeping packages if you want us doing the books.
No. Software plans are month-to-month and you can cancel at any time. Annual billing is optional, not required. The full detail is in section 6 of our Terms of Service.
Email us at seastackmechanical@gmail.com and we'll cancel it. Accounting firms and agencies can also cancel themselves from the billing portal in the agency console. Cancelling takes effect at the end of the period you've already paid for — you keep your paid features until then and you aren't charged again after that.
Your account isn't deleted. It moves down to the free Solo plan and your business records stay there, within the limits of that plan — so cancelling doesn't wipe your history. If you actually want everything erased, that's a separate request through our account & data deletion page.
Because plans are month-to-month and you can cancel whenever you like, payments already made for a period aren't refunded, and cancelling part-way through a month doesn't create a partial refund. If you think you've been charged in error, contact us and we'll look into it. The full wording is in the Terms.
No. One login can own several businesses, each with its own books, branding and numbering, and you switch between them inside the app. Additional businesses are discounted — see Pricing or ask us.
Yes — this is the part we built first. If a crew member clocks in, logs work or fills out a safety form with no connection, it saves to the device and syncs by itself once signal comes back. They'll see a small badge showing how many items are still waiting to go up.
Clock-ins and clock-outs pair up correctly even when both happened offline, so a day spent in a basement or out of coverage still produces correct hours.
Workers clock in and out from their phone and the location is recorded with the entry. Jobs can carry a site location, so you can see whether a clock-in happened at the job or somewhere else. Hours flow into payroll and can be billed onto invoices, so nobody is re-keying timesheets at month end.
No. Field workers see their own hours, schedule, tasks and pay — not your customer pricing, your margins or your company financials. That isn't just menus being hidden: the restriction is enforced in the database itself, so it holds even if someone goes looking outside the app.
Yes. FLHAs, toolbox talks and site hazards can be filled in and signed on the phone, with a record of who acknowledged what and when — so the paperwork exists when you need to produce it. There's more on the safety and compliance page.
Yes, including the awkward cases. Tax is set per line item rather than as one blanket rate across the whole invoice — so an invoice with PST-exempt labour and taxable materials calculates each correctly and shows the split. Rates follow your province and you can adjust them in settings.
No — and we'd rather be straight about that. Seastack is bookkeeping software and a bookkeeping service. It keeps your records organised and your reports ready, but it does not prepare, generate or file tax returns, and nothing in it is tax, legal or accounting advice. Take your books to a qualified accountant for filing.
Yes. You can send a customer a link to view their invoice and pay it by card, and the money lands in your Stripe account, not ours. Customers can also sign in to a portal to see their invoices, estimates and job progress.
Yes. Your money lists — invoices, payments, expenses and the rest — export to CSV, so you can hand a spreadsheet to your accountant or keep your own copy. Invoices, estimates, receipts and reports also print as clean, branded documents.
Only the people you've given access to. Every business's records are separated at the database level, and what each person can see is governed by their role — owner, office staff or bookkeeper, field crew, or customer. Those rules are enforced by the database on every request, not by hiding buttons in the interface.
No. Card payments are handled by Stripe, a specialist payment processor. Full card numbers never sit inside the Seastack application.
You do. You keep ownership of your business, project and financial information; we hold and process it only to run the service for you. See the Terms and the Privacy Policy.
Use the account & data deletion page. Note that deleting is separate from cancelling a subscription — cancelling keeps your records on the free plan, deleting removes them.
Inside the app there's a Help button on every screen — it covers the things that most often go wrong and how to fix them. If that doesn't solve it, email seastackmechanical@gmail.com or use the contact form. We're a small team and we answer our own email — you won't be routed through a call centre. Weekdays, Pacific time.
Seastack is built to set itself up — you're running in a few minutes without anyone on a call, and the in-app Help covers getting your crew on, which is the step people ask about most. If you'd rather not do the books at all, our done-for-you service is the option where a person takes it off your hands.
